Send District 102 Administration a list of officers and the budget for the school year and make sure she puts your name on the list for notice of District 102 Roundtable Parent Organization meetings.
Presides over meetings; prepares and distributes agenda (via email) and any other materials in advance of meetings
Reviews meeting minutes prepared by Secretary; reviews financial reports prepared by Treasurer
With the Treasurer, plan a tentative budget to present to PIMA Board in September for approval. Once approved, send budget to Carol Norvilas at District 102 Administration building
Maintain the bylaws and corporate records of PIMA (the agendas, meeting minutes, treasurer’s reports)
Update tax-exempt letter when necessary
Update Officers binders and job descriptions as necessary.
Work with Board and Committees to ensure their jobs are being completed
Make sure PIMA has appropriately reserved facilities at Park for Activity Night, the fundraiser distribution and any other dates (use forms available through the Park office)
Work with Directors to award scholarships to summer music camps for students finishing 7th grade
Attend and speak at meeting for parents of new/potential instrumental music students
Help directors organize the roller skating party in January
Work with directors and officers to decide how funds will be spent to best serve the needs of the instrumental music program of District 102
Annually update email distribution lists for band and orchestra contactsMaintains database with contact information of all families in the program
Sends e-mails to appropriate groups regarding upcoming events at the request of the President(s) or the Music Directors
Updates the PIMA website
Maintains the privacy of all personal information contained in email lists
Maintains PIMA’s Google Workspace/Email Instance
Assume responsibility for the event/activity you are chairing
Communicate with the President(s) when necessary to provide an update on your activity/event
Report to PIMA President(s) and attend PIMA meeting to provide information, if necessary
Work with a fundraising company to conduct a successful fundraising event
Use parents from the volunteer list to help with fundraising, delivery, and distribution
Collect orders and payments to review and submit to the fundraising company
Promptly prepare money for the treasurer to deposit
Prepare and distribute publicity as necessary for the fundraiser
Help with School registrations
Attend PIMA Board meetings
Serve as liaison between school and PIMA and report PIMA activities to your school either through attending PTC meetings or including information in school newsletters and websites.
Help with the PIMA fundraiser by helping to distribute materials at your school.
Help with PIMA activities as needed
Elementary school reps will coordinate the end-of-year outing to Enchanted Castle, send out flyers, collect moneys and obtain volunteers for the event.
Junior High Reps will plan, coordinate and collect payments for the Junior High outing in May and obtain parent chaperones for the events and secure bus transportation through Park Junior High.
Junior High Reps assist directors with uniform distribution in September, make 8th grade posters for final concert
Work with Communications Chair to optimize Social Media presence on PTO/PTC social media platforms as well as school communications
